TheraCraft Learning Centre (“TheraCraft,” “we,” “us,” or “our”) is a creative learning centre in Caledon Village, Ontario. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit TheraCraft.ca, contact us, request a consultation, register for a program, or communicate with us through Facebook or Instagram.

- Contact information: Your name, email address, phone number, and preferred contact method.
- Registration information: The program or session requested, participant name and age range, scheduling preferences, and information needed to arrange participation.
- Consultation information: Details you choose to provide so we can discuss suitable Developmental Support Program options. We may ask for additional information privately when it is reasonably necessary to assess or provide a service.

- Communications: Enquiries, messages, feedback, and records of our responses.
- Website information: Technical information such as IP address, browser type, pages visited, and cookie or analytics data where those tools are enabled.
Our team can explain a more appropriate way to provide information needed for a consultation.
2 How we use information
We use personal information to respond to enquiries; arrange consultations; assess program availability and appropriate next steps; register participants; administer classes and services; process bookings and payments; provide updates about a requested program; maintain safety and business records; operate and improve our website; and meet applicable legal obligations.
We send promotional emails or text messages only when we have an appropriate basis to do so. You can unsubscribe from promotional messages at any time. Messages needed to respond to your enquiry or administer a booking may still be sent.
We do not use information about a child’s diagnosis, disability, or developmental needs to create advertising audiences.
3 Information about children and Developmental Support Programs
Parents or legal guardians should submit registration and consultation requests for children. We seek appropriate parent or guardian consent before collecting sensitive information about a child for program planning.
Developmental Support Programs may involve qualified professionals who need relevant information to discuss or provide a particular service. We limit access to people who need the information for that purpose. A professional providing a regulated service may also have separate privacy duties and may give you a separate notice or consent form. We will explain the applicable arrangements during the consultation process.
4 Meta, social media, and online advertising
If you submit a TheraCraft enquiry through a Facebook or Instagram Instant Form, Meta collects and provides the information you submit to us. We use it to respond to your request and arrange a consultation. Your use of Facebook and Instagram is also subject to Meta’s privacy practices.
We may use website analytics or advertising measurement tools, where enabled, to understand visits and assess our advertising. You can manage cookies through your browser and any choices presented on our website. We do not ask for medical or disability information in our Meta lead forms.
5 When we share information
We may share information only as needed with:
- Staff and qualified professionals involved in responding to your request or providing an agreed service;
- Providers that support website hosting, email, booking, payment, or other business operations;
- A parent, guardian, or other person you authorize, where appropriate; and
- Authorities or other parties when required or permitted by law.
Service providers may process information outside Ontario or Canada. Information processed in another jurisdiction may be subject to that jurisdiction’s laws. We do not sell personal information.
6 Consent and your choices
By providing information to us, you consent to its collection, use, and disclosure for the purposes explained at the time and in this policy, subject to applicable law. We seek additional consent when required, particularly for sensitive information or a new purpose.
You may withdraw consent, subject to legal or contractual restrictions and reasonable notice. Withdrawal may affect our ability to provide a requested service. Contact us using the details below to discuss your choices.
7 Safeguards and retention
We use administrative and technical safeguards appropriate to the sensitivity of the information, including limiting access to those who need it. No online transmission or storage system can be guaranteed completely secure.
We keep personal information only as long as reasonably needed for the purposes described above and to meet applicable legal, accounting, and record-keeping requirements. We then securely delete, destroy, or de-identify it as appropriate.
8 Access, correction, and complaints
You may ask to access or correct personal information we hold about you or your child, subject to applicable law. You may also ask questions or raise a concern about our privacy practices. We may need to verify your identity or authority as a parent or guardian before responding.
